Electrum Ekiden Virtual – Terms & Conditions


The Organiser of Electrum Ekiden Virtual Race, hereinafter referred to as the “Race”, is the Białystok Biega Foundation entered into the National Court Register under the number KRS 0000392164 with its registered office in Białystok.


  1. To raise funds for “Pomóż Im” Foundation – Children’s Hospice.
  2. To promote running as the most basic form of movement.
  3. To promote physical activity and healthy lifestyle during the coronavirus pandemic.
  4. To integrate participants, corporate teams and local communities.


  1. Teams may participate in the Race from 13 through 5 July 2020. 
  2. Team members are free to run their distance at any time and place in the world, no later than 5 July 2020.
  3. Team members must collectively cover the distance of a marathon (42.195 km), although for the sake of competitive clarity the distance of 42.2 km will be used.
    1. Team member I has to run the distance of 7.2 km
    2. Team member II – 10 km
    3. Team member III – 10 km
    4. Team member IV – 5 km
    5. Team member V – 5 km
    6. Team member VI – 5 km
    7. It is not necessary to declare the distances of individual team members at the time of registration.
  4. Participants are free to run their legs in any terrain. Participants are obliged to follow the guidelines issued by the Minister of Health on social distancing, as well as other regulations regarding the coronavirus pandemic.
  5. Participants are required to obey traffic regulations.


  1. There is no time limit for any leg of the Race.


  1. The registration process for the Race is as follows:
    • The team’s captain registers first and submits the team’s name.
    • The captain pays the registration fee for the whole team.
    • The captain then receives an e-mail with the team’s password necessary for other participants to register.
    • Other participants register individually by submitting the team’s password provided.
    • During the registration process, the captain may decide whether all race packs should be sent to one address or should participants be able to decide for themselves.
    • During the registration process, each participant may decide to purchase T-shirts and other additional services. All additional purchases are to be paid for by each participant individually. 
  2. In order to participate in the Race, it is necessary to fill in the registration form and pay the entry fee. The registration form shall be submitted in electronic form. Paying the entry fee and submitting the registration form is equivalent to accepting these Terms & Conditions.
  3. Registration is open from 1 through 28 June 2020.
  4. Once registered, participants will receive their race bibs in a PDF file. Participants may print their bibs and attach them to T-shirts for the Race. However, it is not obligatory.
  5. The Organiser allows the start of participants in wheelchairs with direct manual drive (e.g. rim push) and indirect drive (e.g. handbike).


    1. Each participant runs the leg distance agreed upon with the team’s captain. The leg distance has to be covered at any time from 13 through 28 June 2020. 
    2. All team members have to run their legs the same day!
    3. Participants may record their leg runs on any suitable device which records running time and route. It is important that participants be able to share photos/screenshots as evidence of the distance, time and date of their leg runs. 
    4. Having completed their leg runs, participants submit their results by filling in the form provided by the Organiser at www.electrumekiden.pl. Participants will be required to submit their leg run time and a photo/screenshot showing the leg route, distance and time.
    5. Each result may be submitted only once. 
    6. Incomplete submissions will be disregarded.
    7. Only the results shown in photos/screenshots will be taken into account. Participants are required to run their respective leg distances.
    8. The deadline for submitting results is 10 July 2020. Results submitted thereafter will be disregarded.
    9. The Organiser will consecutively verify submitted results and publish and update them at www.electrumekiden.pl.
    10. Race pack (+ optional T-shirts) will be sent to participants within 3-5 weeks from submission of their results. Race packs will be sent at additional postal fee. Team’s captain decides whether race packs should be sent to one address or to each participant individually. 
    11. Race packs may also be picked up in Białystok at the Tania Książka bookstore pick-up point.






By registering to participate in the Electrum Ekiden Virtual Race you support the “Pomóż Im” Foundation and the Białystok Biega Foundation. It is your contribution to our statutory operation. Thank you from the bottom of our hearts!

    1. There is a team registration fee, which depends on the race package chosen and amounts to:
      • 150 PLN/team – for a basic race package with race bibs;
      • 240 PLN/team – for an extended race package with race bibs and commemorative medals, just as in traditional races.
      • With each registration fee we will donate 50 PLN to the Children’s Hospice.
      • The registration fee indicated above is its minimal amount. Teams might decide to pay a higher amount. The balance will in whole be donated to “Pomóż Im” Foundation – Children’s Hospice.
      • Payments must be made during the registration process via secure online payments (by card, Blik or bank transfer) or directly to the Białystok Biega Foundation’s bank account BIC/SWIFT: BREXPLPWMBK

        15 1140 2017 0000 4702 1304 3240. In case of direct bank transfer, it is necessary to include the note “Ekiden” together with the team’s name in payment description. 
      • The entry fee is non-refundable.







  1. The Race will feature the following classifications based on the registrations and results submitted:
    1. General classification,
    2. Classification of women’s teams – for teams composed of 6 women,
    3. Corporate classification.
  2. Corporate classification terms and conditions:
    1. each team should represent a corporation, understood as an employing establishment, including private companies and units of public administration;
    2. a corporation might be represented by any number of teams; 
    3. corporate representatives (participants of corporate relay race) should include: its employees, its self-employed workers, persons on work or commission contracts, and other corporation agents;
    4. the team’s name must include the corporation name (or its abbreviation).  The team’s name might also include other elements besides the corporation name. The corporation name is obligatory.
    5. in order to include the team in the Corporate classification you must tick a suitable box in the registration form;
  3. The Organiser reserves the right to introduce other classifications.
  4. Due to charitable character of the Race, there will be no financial prizes.


  1. Due to the unusual conditions and rules of the Race, we urge participants to follow the rules of fair play. It is forbidden to cover leg distances on skates, bikes, scooters or in any way other than by foot. This does not apply to participants in wheelchairs.  
  2. The Organizer reserves the right to send Race participants information about the Race and other events organised or co-organised by the Organiser, as well as for internal administrative and analytical needs.
  3. The Organiser and its related entities reserve the right to interview, photograph and/or film participants, as well as use their names, image and voice and other materials originated from or related to their participation in the Race for advertising and promotional purposes, including the use on the Internet and radio or television broadcasts, and for any other commercial purposes with the right to modify them. 
  4. The Organiser and its related entities reserve the right to exploit free of charge any photographs, film materials, interviews and recordings, which may free of charge be used on selected electronic storages, catalogues and various types of media – television, radio, newspapers, magazines, websites – for any advertising and promotional purposes. Participants declare that the Organiser shall not be obliged to pay any fees related to the activities described in points 7 and 8 of this section, thereby granting the Organiser unlimited license to use their statements and information without notice in order to advertise and promote the Race.
  5. The Organiser reserves the right to change these Terms & Conditions. Any changes to these Terms & Conditions shall be published on the Race’s website.
  6. In any matter not covered by these Terms & Conditions, the Organiser shall decide.
  7. Should any of the provisions of these Terms & Conditions be declared null and void or unenforceable, whether in full or part, all other provisions shall remain in full force and effect.



Who is the administrator of your personal data?

The administrator of your personal data is the Białystok Biega Foundation with its registered office in Białystok, ul. Zwierzyniecka 10, 15-333 Białystok (KRS Number: 0000392164). You may contact the administrator at fundacja@bialystokbiega.pl.

Why and what for is your personal data processed?

  1. to provide electronically supplied services:
    • performance of the agreement – that is, your participation in the Race
  2. to perform the agreement – that is, enable you to participate in the Race:
    • prepare race pack, process results, hand out prizes, etc.
    • publish starting lists and results
    • provide payment services
    • send information (via e-mail or text) on races organised by the Białystok Biega Foundation
    • handling your requests and correspondence with us
    • contacting you
    • make it possible for a charity to contact you (should you choose to support one)
  3. to fulfil legal obligations incumbent on the Białystok Biega Foundation:
    • for tax and accounting purposes
  4. for purposes arising from legitimate interests of the Białystok Biega Foundation:
    • conducting direct marketing of products and services
    • handling your requests and correspondence with us
    • contacting you
    • counteracting fraud and abuse
  5. on the basis of your consent:
    • to send you marketing information (via e-mail or text)

Do you have to provide personal data?

Providing personal data is required to participate in the Race.

Failure to provide personal data prevents the conclusion of the agreement and your participation in the Race.

How long will your personal data be processed for?

Your data will be processed while you continue to use the datasport.pl registration website and participate in races organised by the Białystok Biega Foundation, for which the registration is possible via this website.

After the end of this period, your data will continue to be stored for purposes resulting from legal provisions (especially tax and accounting) as well as to prevent fraud and abuse and to pursue any claims arising from the concluded agreement.

Part of your data (especially the data included in race results) can also be processed after this date for statistical and archival purposes.

Who will be the recipient of personal data?

Your personal data will be disclosed to administrator’s employees, associates and subcontractors to the extent necessary to realise the above-mentioned purposes.

Starting lists and results, which contain basic personal data, will be made publicly available, including their publication on the Race’s website.

What rights do you have in relation to the processing of your personal data?

You have the right to request access to your personal data, rectify it, delete it and limit its processing. In addition, you have the right to object to processing your personal data and transferring it.

Moreover, in relation to processing personal data based on your consent – you have the right to withdraw that consent at any time.
